Please read these Terms & Conditions carefully before booking a tour or using any service provided by CZECHtrekker. By completing a booking or accessing our website, you accept and agree to be bound by these terms.

1. The Booking Contract


1.1 Who We Are


CZECHtrekker is a private tour operator based in Prague, Czech Republic, offering guided and self-guided day trips and multi-day tours throughout the Czech Republic ("we", "us", "our").


1.2 Forming the Contract


A legally binding contract between you ("the client") and CZECHtrekker is formed when:


  • You complete the booking form and submit your traveler details; **and**
  • Full payment is received and confirmed by our payment processor (Stripe); **and**
  • We issue a written booking confirmation to the email address you provided.

  • Until you receive a booking confirmation email, no contract exists and we are not obligated to provide the tour.


    1.3 Accuracy of Information


    You are responsible for ensuring that all information provided at the time of booking — including traveler names, contact details, and any medical or dietary requirements — is accurate and complete. CZECHtrekker shall not be liable for any loss, cost, or inconvenience arising from inaccurate information provided by you.


    1.4 Group Composition


    Our tours accommodate groups ranging from 1 to 16 participants. Minimum group sizes may apply to certain tours. Where a minimum is not met, we reserve the right to cancel the tour with a full refund (see Section 3.3).


    1.5 Tour Descriptions & Itineraries


    We take care to ensure tour descriptions are accurate. However, itineraries are subject to change due to seasonal conditions, weather, local events, or operational reasons beyond our control. We will make every reasonable effort to provide an equivalent experience.

    2. Prices & Payment


    2.1 Pricing


    All prices are listed in Czech Crowns (CZK). Equivalent prices in EUR and USD are displayed for convenience and are based on live exchange rates at the time of quoting; the CZK amount is the binding price. Prices include VAT where applicable under Czech law.


    2.2 Dynamic Pricing


    Tour prices are calculated dynamically based on the number of participants and the variant selected (Guided or Self-Guided). The price displayed on the booking summary at the time of payment is the price you will be charged.


    2.3 Add-Ons


    Optional add-on activities are priced separately and listed in the booking process. Add-on prices are fixed and not subject to group-size discounts.


    2.4 Discount Codes


    Any valid discount or coupon code reduces the **base tour price only**. Discounts do not apply to optional add-ons, and cannot be combined with other promotional offers unless explicitly stated.


    2.5 Payment


    Full payment is required at the time of booking. We accept payment via Stripe, which supports major credit and debit cards. By providing your payment details, you authorise us to charge the total amount shown at checkout. We do not store your card details.

    3. Cancellations & Refunds


    3.1 Cancellation by the Client


    If you need to cancel your booking, the following policy applies based on the number of days remaining before the tour departure date:

    Cancellation requests must be submitted in writing via our contact form or by email to the address provided in your booking confirmation. The date of receipt of your written notice determines the applicable notice period.


    3.2 Rescheduling


    If you wish to reschedule rather than cancel, we will make every effort to accommodate a date change at no extra charge, provided the request is made at least 14 days before the original departure date and subject to availability.


    3.3 Cancellation by CZECHtrekker


    We reserve the right to cancel any tour in the following circumstances:


  • Severe or dangerous weather conditions that make the tour unsafe
  • Minimum participant numbers are not reached (where applicable)
  • Circumstances beyond our control (force majeure), including but not limited to natural disasters, civil unrest, or government restrictions

  • In all such cases, you will receive a **full refund** of all amounts paid. We are not responsible for any consequential costs you may incur (e.g., flights, accommodation, travel insurance).


    3.4 Refund Processing


    Approved refunds will be processed to the original payment method within **10 business days**. Processing times may vary depending on your card issuer.


    3.5 Non-Refundable Circumstances


  • No-shows on the day of departure
  • Early departure from a multi-day tour
  • Failure to meet the physical requirements described for the tour

    4. Liability


    4.1 Our Liability to You


    CZECHtrekker accepts liability for the acts and omissions of our employees and guides where they result in death, personal injury, or property damage caused by our **proven negligence**.


    4.2 Limitations


    To the fullest extent permitted by Czech and EU law, CZECHtrekker shall not be liable for:


  • Any loss, injury, or damage where you have not followed guide instructions
  • Indirect or consequential loss (e.g., loss of enjoyment, loss of earnings)
  • Loss or damage to personal property during a tour, unless directly caused by our negligence
  • Acts of third parties (e.g., local transport providers, entry fee operators, restaurants)
  • Events of force majeure (natural disaster, pandemic, war, terrorism, extreme weather)

  • 4.3 Maximum Liability


    Where liability is established, our maximum liability to any individual client shall not exceed the total price paid by that client for the specific tour.


    4.4 Travel Insurance


    We **strongly recommend** that all participants obtain comprehensive travel insurance before departure, covering trip cancellation, medical expenses, emergency evacuation, and personal liability.

    5. Participant Responsibilities


    5.1 Health & Fitness


    Some of our tours involve physical activity such as hiking, cycling, or walking on uneven terrain. You are responsible for assessing whether a tour is suitable for your level of fitness and health. If you have any medical conditions that may be affected by the tour activities, please consult your doctor before booking and inform us in writing.


    5.2 Conduct


    We reserve the right to remove any participant from a tour whose behaviour is deemed by the guide to be disruptive, dangerous, or offensive to other participants or third parties. In such cases, no refund will be issued.


    5.3 Minors


    Participants under the age of 18 must be accompanied by a responsible adult at all times. The accompanying adult is responsible for the minor's conduct and welfare throughout the tour.

    6. Photography & Intellectual Property


    6.1 Promotional Photography


    Our guides may take photographs or video footage during tours for use in our marketing materials, website, and social media. By participating in a tour, you grant CZECHtrekker a non-exclusive, royalty-free licence to use such footage. If you do not wish to be photographed, please notify us **in writing at least 48 hours before** the tour departure.


    6.2 Website Content


    All text, photographs, maps, and design elements on the CZECHtrekker website are our intellectual property or used under licence. You may not reproduce, distribute, or publish any of this content without our prior written consent.

    7. Self-Guided Tours


    For Self-Guided tour variants, the materials, route instructions, and digital resources we provide are for personal use only. CZECHtrekker is not responsible for navigation errors, missed attractions, or any incidents that occur during a self-guided tour, provided that the materials supplied were accurate at the time of delivery.

    8. Governing Law & Disputes


    8.1 Governing Law


    These Terms & Conditions are governed by the laws of the **Czech Republic**, including the Civil Code (Act No. 89/2012 Coll.) and applicable European Union consumer protection regulations.


    8.2 Dispute Resolution


    We encourage you to contact us first to resolve any dispute informally. If a dispute cannot be resolved amicably, you have the right to:


  • Submit a complaint to the **Czech Trade Inspection Authority (Česká obchodní inspekce — ČOI)** at www.coi.cz
  • Use the EU Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr/
  • Seek resolution through the courts of the Czech Republic

  • 8.3 Changes to These Terms


    We reserve the right to update these Terms & Conditions at any time. The latest version will always be available on our website. Where a change materially affects existing bookings, we will notify affected clients by email.
